Job Summary : This position is an essential administrative role in the Emergency Medicine Department. We are a national leader in emergency care with a strong team of principal investigators, clinical operations staff and administrative support.
We are seeking an administrative professional to provide varied administrative and programmatic support to staff within the department. The activities may be of a detailed and confidential nature and may involve a substantial amount of complex detailed and technical work. The person in this role is expected to support administrative team with limited financial activities, coordinate a variety of office management activities and provide administrative support for several research and programmatic initiatives. Successful candidate is expected to be resourceful and have a high understanding of general administrative procedures with the ability to work in a fast-paced environment with constantly shifting priorities.
Essential qualities include customer service orientation, administrative and accounting skills, advance planning, capacity to work under time sensitive deadlines, and ability to coordinate activities with multiple constituent groups.
Expected responsibilities will include but are not limited to the following:
Accounting and Financial Support * Complete various internal forms (check requests, 1180's, etc.) for administrator's approval * Track and maintain financial information, files, and databases * Assist with report preparation * Other accounting and financial tasks may be assigned as needed
Programmatic and Administrative Activities * Provide office management support * Coordinate office purchases and facility management requests * Provide administrative support for medical residency program: file maintenance, place group catering orders, guest travel arrangements, invoice payments, advertisements/flyer for program events, educational event setup and cleanup. * Provide administrative support to faculty * Coordinate large study-related meetings for sponsors and collaborators * Coordinate travel requests and reimbursements * Additional programmatic or administrative responsibilities may be assigned consistent with the operating needs of the unit

Led by 8 core faculty and an extensive research infrastructure, we are top leaders in designing innovative ED-based research and are top enrollers in both industry and federally funded studies. Our research staff actively screens patients over 100 hours each week in the emergency departments at VUMC and the Tennessee Valley Hospital. Combined, these Eds see over 100,000 patients each year. Additional Information: This is a non-exempt, full-time position; 40 hours per week, Monday-Friday.
Salary is dependent upon education and experience.
